Job Description
Overall, Purpose of Role
Co-ordinate sales administration and distribution for the organization
Key Areas of Responsibility
Sales
• Answer the telephone and take verbal sales orders from customers.
• Give technical information and advice to customers on the products.
• Provide quotations for customers. Adjust pricing if required and check that there is stock available.
• Process invoices and sales orders on accounting software.
• Generate daily sales report for #Sales and Marketing Manager using accounting #software.
• Correspond with customers and send invoices and proof of delivery notes as required.
• Maintain quotation file for every customer.
• Ensure that all administration and filing is up to date.
• Correspond with customers around complaints and queries. Ensure that queries are resolved or escalated where necessary.
• Constantly check on sales targets by contacting customers to increase orders and place more.
Distribution
• Schedule, organize and co-ordinate deliveries to customers. Delivery is same day or next day with 2 days maximum.
• Where urgent or new orders arise then planning schedules and timing must be changed to accommodate this.
• Maximize transport usage where possible.
• Liaise with customers and transport providers to co-ordinate delivery times and any special instructions or requests.
• Liaise with #Finance Manager around e.g., stock available for delivery, loading of trucks with correct batches for delivery, after hours loading, pre-loading etc.
• Liaise with service providers/suppliers on orders, payment, site problems etc.
• Resolve any queries and escalate to Sales and Marketing Manager if necessary.
• Make numerous decisions around deliveries daily.
• Ensure drivers are on time and respectful to customers.
• Organize and plan loads of bricks direct to site.
Educational (Formal Qualifications Required)
• Diploma in Sales & Marketing or Business Administration
• Proficiency in #ERP system
• 2-3 years’ experience working in a similar industry.
