The position is responsible for manning the front desk and reception, as well as providing administrative and clerical support across the business.

This position is responsible for manning the front desk and reception, as well as providing administrative and clerical support across the business. The role ensures professional reception services, efficient office administration, travel coordination and records management.

This position serves as the first point of contact for visitors, customers, and callers, while also ensuring smooth day-to-day office operations and administrative excellence.

Key Performance Areas

  • Answering phones calls, screening and routing them to the correct departments/recipients.
  • Assist the Admin Officer-External Affairs, Managing the Executive Directors and Asset President’s diary plan and scheduling meetings.
  • Attending to customer queries and refer / escalate customer queries when necessary.
  • Arranging all travel for Management, TMB Visitors and supervisors by making bookings and follow-ups through Travel Agencies or directly.
  • Assist the Document Control Officer to pre register of all received, registered, and couriered mail. Receiving, sorting, recording, and distributing mail, couriers, and essential operational documents
  • Monitoring inventory of office consumables, managing meeting room schedules, and supporting management with ad-hoc clerical tasks.

Qualifications

  • Diploma in Business Administration, Secretarial Studies, Office Management, or related field.

Experience

  • At least two years of experience as a receptionist or in a related dynamic field.
  • At least 3+ years of proven experience in reception, front-desk, or administrative roles in a dynamic corporate environment.

Technical/Behavioural Competencies

  • Electronic mail expertise.
  • Proficiency in MS Office Suite (Word, Excel, Outlook).
  • Knowledge of basic office procedures, administrative systems, and document-control practices.
  • Ability to handle sensitive company and employee information appropriately and maintain confidentiality.
  • Ability to work autonomously and effectively as part of a team.
  • Professionalism and strong customer service orientation.
  • Excellent written and verbal communication skills.
  • Attention to detail.
