PROCUREMENT SYSTEMS ADMINISTRATOR & TRAINER-MAUN BASED
PURPOSE OF THE JOB
The Procurement Systems Administrator and Trainer , reporting directly to the Procurement Manager will be responsible for the implementation, administration and distribution of selected Wilderness procurement related computerised systems, with the goal of providing optimum support for users in the lodges, centralized warehouse and staff located in Maun. This includes Microsoft Dynamics Great Plains (GP) procurement and inventory management modules. The role will continuously assess the needs of the company against the current procedures relating to the above-mentioned system, with the aim of improving overall performance, efficiency and cost to company.

BRIEF DESCRIPTION OF POSITION
Procurement module
• Maintain the camp consumption and buffer stock database.
• Liaise with OPS and F&B teams to ensure new product requirements are available for ordering on GP.
• Management of templates according to seasonal requirements and par stock levels set by the Food team,
• Making sure that the templates are user friendly . e.g. the use of generic item descriptions
• Periodically review of camp consumption rates with the help of F&B and adjust in order to ensure under/oversupply is at a minimum.
• Manage the flow of orders through the system.
• Implement any upgrades to the system as they are required.
• Feedback to IT department on any adjustments required from an operational perspective.
• Updating the supplier lists to make sure that the specifications match the orders that are being generated. Engage directly with suppliers on matters that concern the development of the system and ensure that the Warehouse GM and other relevant stakeholders are fully aware of any discussions that concern suppliers.
• Provide support and training to users.
• Liaising with suppliers on uncommunicated price changes

Inventory Module
• Support the Camp admin team relate to queries from finance and assist in resolving them
• Provide training and support to Maun warehouse, lodge management and GP admin roles
• Pull out reports from GP to provide analyses on Inventories, Purchasing, Lead times, Supplier efficiencies and Costs in order to assist OPS team in decision making and planning.
• Coordinating monthly inventory counts, reporting procedures and alert management to anomalies.
• Working with the Group Finance Manager, Finance Managers and Warehouse Manager in coordination of year-end inventory counts.

General Administrator and training
• Providing monthly feedback to OPS and Concession Managers on camp performance on procurement activities.
• Managing passwords and resetting
• Monitoring costs and comparing prices between suppliers
• Attend and address all system queries
• Set user rules and following up
• Carry regular review of procurement activities(under guidance from Group Finance Manager) to ensure compliance with existing business rules
• Any procurement-related activities as assigned by the supervisors from time to time

MINIMUM REQUIREMENTS
• Diploma in Procurement, Accounting, Information Technology or any equivalent qualification
• Intermediate understanding of accounting rules and principles
• High End Lodge management experience will be an added advantage.
• In depth working knowledge of the Great Plains Procurement and Inventory modules
• Experience with coordinating procurement, supply of goods to remote areas and in camp operations.
• Have the patience, curiosity and drive to perfect issues and concerns within a system, for the best efficacy of operations and being cognizant of cost at all times.
• Prior training knowledge and experience an advantage.
