PROCUREMENT MANAGER

PURPOSE OF THE JOB

Directly reporting to the Regional Finance Officer, the Procurement Manager will be responsible for overseeing the procurement department covering purchasing, logistics and procurement administration activities of the business. The candidate will be responsible for ensuring the business’ purchases are of the highest quality and are at the most cost efficient level. The candidate will be responsible for generating timely and accurate reports for internal and external stakeholders and will work closely with various departments within the organization to gather data, analyse and interpret it to produce insightful reports.

KEY PERFORMANCE AREAS:

  • Develop and implement procurement strategies to meet set business objectives.
    Develop and implement procurement policies that align with business policies and improve the efficiency and effectiveness of procure. ment activities.
  • Oversee the procurement team, ensuring that they are meeting the company’s procurement objectives, and monitor their performance.
  • Ensure all imports by the business are done strictly in line with relevant legislation.
  • Ensure supplier data on the procurement module is complete and up to date.
  • Take the lead in supplier sourcing, supplier evaluation and on boarding, price negotiation and dispute resolution.
  • Oversee procurement related administration covering but not limited to stock sheets, inventory counts, management of receipt of goods and inventory issue sheets.
  • Analyse market trends and conduct regular market research and market opportunities. Interpret data to identify trends and patterns within the logistics and supply chain.
  • Build and maintain relationships with internal stakeholders and external parties to deliver value for the company.
  • Develop and implement standardised camp and lodge administrative policies and procedures that align with the company’s goals, values and objectives.
  • Ensure that all necessary licenses and permits required by local and national authorities are obtained and maintained.
  • Oversee and manage the company’s physical facilities and equipment asset registers, ensuring the same information is aligned with fixed asset registers maintained by the finance department.
  • Develop tender evaluation matrices for major projects and initiate tender processes when necessary.
  • Take the lead in the disposal process for retired assets ensuring strict adherence to set company policies.
  • Take the lead in initiating negotiations and signing of Service Level Agreements with key suppliers ensuring relevant management personnel are involved in the process.
  • Monitor supplier performance against SLAs and initiate appropriate action involving all relevant departments.
  • Prepare user friendly reports from the procurement module for decision making purposes.
  • Liaise with IT and other departments to maintain and improve data management systems.

MINIMUM REQUIREMENTS

  • Bachelor’s degree or relevant tertiary qualifications in procurement or related fields, such as business management, or accounting.
  • A member in good standing of the Chartered Institute of Procurement and Supply or equivalent will be an added advantage.
  • At least 5 years’ experience at a Senior level, with at least 3 years in a leadership role.
  • Experience inmanaging a diverse procurement department of a large organisation.
  • Proven track record of achieving cost savings in procurement activities.
  • Strong leadership skills, with the ability to inspire and motivate teams to achieve company goals.
  • Demonstrable ability or experience in analysing and interpreting data and making sound business decisions based on analysis.
  • Practical knowledge of relevant laws and regulations related to procurement and administration.
    Experience in the use of advanced Excel and enterprise resource planning (ERP\ software.
  • Proven problem solver and good with stakeholder face to face interaction..
  • Excellent attention to detail.
  • Excellent verbal and written communication skills.
  • Excellent negotiation skills Solution driven with analytical and logical approach to problem solving and decision-making.
  • Ability to be firm and objective when addressing challenges.
  • Ability to work under pressure, prioritise tasks, multi-task and meet deadlines.
