You will work under the supervision of the Human Resources Manager and will also provide support in assigned legal cases.

Objectives of this Role

  • While a Legal Secretary one is expected to perform some standard secretarial tasks, you will spend most of your workday performing tasks specific to the field of law
  • As a legal secretary  you will provide administrative support within the legal department. As a Legal Secretary you will be  responsible for managing the day-to-day operations of the legal office
  • Since you will be working in a Corporate office you will work with attorneys who specialize in business and corporate law. They assist in preparing contracts, agreements, and documents related to business transactions, mergers, acquisitions, and corporate governance.
  • RIC also deals with real estate so you will be expected to handle property transactions, real estate contracts, leases, and property development. You may also deal with title searches and closing documents.
  • Ensure the smooth running of the office as a legal counsel ensuring smooth communication.
  • Track deadlines to ensure documents are filed in a timely manner.
  • Represent the company well when dealing with clients and officials.
  • Maintain confidentiality at all times.

Daily and Monthly Responsibilities

  • Administrative Support: Beyond legal tasks, as a legal secretary you will handle general administrative duties such as billing, timekeeping, and record-keeping. They may also manage office supplies and maintain a tidy and organized work environment.
  • Document Preparation: As a Legal secretary you will be  responsible for drafting and formatting legal documents, including contracts, pleadings, motions, and correspondence. You will ensure these documents adhere to legal formatting standards and accurately reflect the information provided.
  • The other major duties include providing Lawyers with direct assistance, scheduling client appointments and organising and maintaining all legal documents kept on-site.
  • Communicate with clients in person, over the phone, and via email
  • Draft, proofread, and file or send legal documents, such as motions or letters of intent
  • Perform secretarial duties, including scheduling appointments, making copies, and compiling complex documentation
  • Create and maintain case files, including producing and editing transcripts
  • Perform legal and background research when requested

Skills and Qualifications

Requirements and skills

  • Proven experience as Legal Secretary
  • Knowledge of constitution, legal terminology, regulations and court system
  • Knowledge of MS Office and ability to work with legal technology (court-filing computer systems, transcription software, dictaphone etc)
  • Working knowledge of litigation management software systems is a plus
  • Proficiency in English
  • Outstanding time-management and typing skills
  • Ability to multitask and being comfortable dealing with a diverse pool of people
  • Strong organizational skills

Preferred Qualifications

  • Bachelor’s degree or Legal Secretary Certificate
  • Knowledge of online court filing systems
  • Experience using dictation and transcription software
