Main Purpose and Scope of the Job

To provide support within HR Services by ensuring that Project requirements are met and that implementation of HR Resourcing; Shortlisting, Interview scheduling, background checks(references), document collating, preparing offers and onboarding. In addition, the position will assist the HR Officer with the setup of the soft and manual filing system by collating all necessary documents needed for employee personal files both physical and soft (Scanned files).

Duties and Responsibilities

  • To prepare and place adverts upon receipt of staff requisitions and shortlisting received applications
  • Preparing for and participating in interviews, medical and security screening for selected candidates.
  • Processing offers letters, drawing employment contracts, induction and handing of employees to line.
  • Updates Organizational Structures as changes occur and proactively facilitates planned recruitment
  • Exit/separation management – process exit interviews, reports, termination checklists and clearance
  • Attends to all administrative functions of the position, taking cognizance of the need to create a clear audit trail,
  • Assist in coordinating HR events, meetings and stakeholder engagements.
  • Assist in compiling monthly payroll changes and ensure accurate and timely payroll particularly for new hires.
  • Assist in processing both project & subcontractors’ expatriates work and residence permits and exemption certificates
  • Maintains HR data integrity. Keeping both manual and system records up to date.
  • Filling and archiving according to HR directives and legislative requirements
  • System updates – Capturing relevant data on HR Information System and producing relevant reports as required.
  • Coordinates annual leave/vacation plans, keeps them updated and actualized, and monitors trends on monthly basis.
  • Assist with planning and delivery of all scheduled HR Events – Team Building, Culture Workshops, Wellness Events, End of year function

Qualifications:

  • Minimum of Diploma in Human Resources, Industrial Psychology or related disciplines
  • 1 – 2 years HR related experience in a dynamic and fast-paced environment
  • Class B Driver’s License is essential
