Job Description

PURPOSE OF THE ROLE

To serve as a primary point of contact to internal and external clients on all matters pertaining to the Office of the CEO, provide business planning, research and analysis on trends, The incumbent will also spearhead special projects,initiatives and presentations as required. The position reports to the Chief Executive Officer and is tenable in Gaborone.

KEY PERFORMANCE AREAS

Calendar Management

  • Scheduling meetings, appointments and travel arrangements (accommodation, fights and per diem processing etc) for the CEO, ensuring efficient use of time and prioritizing important engagements. Plan.
  • Coordinates the development and adherence of the CEO`s Stakeholders Annual Engagement Plan

Communication

  • Managing correspondence, emails, phone calls and other forms of communication on behalf of the CEO. This may involve drafting emails, letters, report and memos

Meeting Coordination

  • Arranging and coordinating meetings, including preparing agendas, taking minutes and ensure follow up on action items (this includes ExCo meetings)

Research and Analysis

  • Conducting research and compiling data as needed to support the CEO in decision making.

Business Planning (Support the Strategy Office)

  • Development of Strategy implementation tracker and periodically update on progress of strategy implementation
  • Conduct market research to identify opportunities/threats for/against the business
  • Spearhead special projects/assignments as and when required

Relationship Management

  • Building and maintaining relationships with internal and external stakeholders.

Office Management

  • Overseeing office operations and ensuring a smooth workflow within the Executive office

Information Management

  • Organising and maintaining files, records and documents both electronic and physical, in a systematic and easy accessible manner

Confidentiality

  • Handling sensitive and confidential information with discretion and professionalism.

QUALIFICATIONS/EXPERIENCE

Qualifications

  • Bachelor’s degree in any field

Experience

  • 5 years related experience preferred.
  • Proficient using MS Office (Outlook, Word, Excel, & PowerPoint)
  • Strong attention to detail, highly motivated
  • Research and Analysis skills
  • Problem solving skills -resourcefulness and the ability to think critically to solve problems  and address challenges proactively
  • Able to exercise good judgement in a variety of situations.
  • Excellent communicator and negotiator – able to deal effectively with people at all levels.
  • Ability to maintain and respect confidentiality.
  • Willingness to adapt to changing priorities and work in a  fast paced environment.
  • Ability to juggle several tasks at once, to prioritize and manage own time
