Job Description

Main Purpose of the Job:

To provide clerical and administrative tasks on procurement lodged disputes, ensure effective management of the Tribunal’s records.

Key Responsibilities

  • Using a checklist to confirm if all information filed meets all requirements
  • Communicating with clients on missing case information.
  • Scheduling cases and issuance of court process originating from the Tribunal
  • Compilation and dispatch of records (new cases and cases appealed to the High Court)
  • Availing case records to Members of the Tribunal
  • Calling out parties to cases and assisting clients to take an Oath/Affirmations during Tribunal proceedings
  • Providing Interpretation Services during proceedings for parties requiring interpretation.
  • Drafting of Tribunal orders.
  • Transcribing Tribunal proceedings speech from audio or audit-visual recordings into written records to ensure accuracy of case records
  • Maintaining a register of case appearance by members and judgments writing.
  • Ensuring accurate capture, and classification of records to ensure efficient retrieval of records
  • Developing and implementing Tribunal’s Records Management Policy, Procedures, Manuals and Registers
  • Maintaining a record of cases filed (new cases and appealed cases to the High Court) and ensuring their safe storage

Qualifications:

  • Bachelor’s Degree in Public Administration or related field OR A Bachelor’s Degree in Records Management or equivalent from a recognized institution.

Experience

  • A minimum of five (5) years of relevant experience in court processes and court records management
  • Experience in Secretarial duties and / court reporting
  • Sound knowledge of procedures of the Court
  • Experience in operating electronic equipment to capture documentation and transfer into appropriate medium for filing and archiving
  • Experience in interpreting court proceedings
