Editorially reviewed: 1 November 2026. Practical guidance from SkyJobs; the employer’s current advert controls each application.
An application letter for a job in Botswana should explain why your evidence fits one advertised role. It is not a second copy of the CV and it should not make promises that your experience cannot support. Follow the advert first: an employer may ask for a letter, a form, a portal statement or only specified attachments.
Read the instructions as a small project
Record the employer, position, work location, reference number, closing time and application route. Highlight every document requested. Where several vacancies share a circular, keep a separate note for each role so you do not mix references or send a generic package to the wrong office. Reopen the official notice before submitting in case a correction or extension was issued.
Give the first paragraph a clear purpose
State the exact post and reference, then identify your relevant background in a sentence. Avoid opening with a long biography or a claim that you are the ideal candidate. The recruiter needs to understand which job you mean and why the application deserves a closer look. Use the department or employer name shown in the notice, not a copied name from your previous letter.
Choose two useful evidence examples
Use one paragraph to connect the main requirements to your work, training or projects. For a Gaborone administration example, you might describe organising records and checking information before it is filed. For a Francistown logistics example, you might describe delivery documentation or stock reconciliation. These illustrate writing structure only; include them only if they describe work you have actually done. A precise action is more useful than saying you are hardworking in several different ways.
Address practical matters honestly
If the advert names a work location, shift pattern, licence or availability requirement, explain the relevant facts without inventing flexibility. Someone considering a role outside their home town should work out transport and accommodation before promising an immediate start. Do not assume that the employer provides relocation support unless the advert says so. Keep salary negotiations separate unless the application explicitly asks for salary information.
A simple letter structure
- Heading: your contact details, the date and the receiving employer or department.
- Subject: the advertised title and reference.
- Opening: the role you are applying for and your relevant background.
- Evidence: two or three requirements connected to truthful examples.
- Closing: the requested attachments, reliable contact details and a courteous sign-off.
Keep the letter and CV consistent
Compare names, job titles, employment dates and qualifications across the letter, CV and form. If an award is in progress, keep that status everywhere. Do not call temporary work permanent or give yourself a senior title to match the vacancy. Ask a trusted reader to check whether the evidence is understandable without being familiar with your career.
Use the actual employer channel
An official institution’s career page helps establish where its own notices are published. For example, the Local Enterprise Authority careers page directs candidates to its vacancy details and recruitment-privacy information. This is a source-verification example, not an announcement that a listed opportunity remains open. Check each current employer notice for its own receiving address and documents.
Make the final package easy to open
Use a professional file name, such as your surname followed by the reference and document type. Open the final PDF or Word file, not just the editable original, and inspect every page. Keep scans upright and readable. If an advert specifies a combined file or an upload limit, follow it. Do not send large unrelated collections of certificates or personal documents simply because they are available.
Keep proof and protect your information
Save the original advert, exact submitted files, sent email or portal confirmation. A form saved as a draft is not necessarily a submitted application. Avoid duplicate follow-ups unless the employer requests them, and use only a verified contact. No genuine application requires you to hand a recruiter your banking password or one-time code.
Five-minute final review
- The title, employer and reference match the original notice.
- Each evidence example is true and relevant.
- Dates and qualifications agree with the CV and form.
- The attachments open correctly and contain no forgotten placeholders.
- The package will reach the stated recipient before the deadline.
