Basic Function of the Position
The Human Resources Clerk will be responsible for providing accurate and timely administrative support to the Human Resources team and employees by processing HR documentation, maintaining employee records, supporting recruitment and onboarding, capturing approved employee information, coordinating routine employee-service activities and tracking HR requirements. Ensuring confidentiality, data accuracy, document control and responsive service while referring exceptions, advisory matters and identified discrepancies to the Human Resources Business Partner (HRBP).
Major Duties and Responsibilities
Your key accountabilities include:
- Providing day-to-day administrative and clerical support to the HR Services team.
- Preparing routine HR letters, forms and employee documentation for review and approval by the HRBP or relevant HR representative.
- Maintaining accurate and complete personnel files, employee records and document registers in accordance with HR document-control and confidentiality requirements.
- Referring any discrepancies/ missing/ changed employee information for correction or capturing and updating into Payspace and other relevant HR systems by the relevant HR official.
- Supporting payroll administration by compiling approved payroll inputs, overtime and employee changes and ensuring supporting documentation is submitted within required cut-off dates.
- Administering routine medical aid, pension and employee-benefit documentation and following up on outstanding forms, supporting information and employee queries.
- Ensuring all the necessary employee file documents including transfers, promotions, contract changes and other approved HR transactions are prepared and updated accordingly.
- Supporting employee administration by filing records and maintaining trackers while preserving confidentiality.
- Compiling routine HR trackers and reports and checking source information for completeness and accuracy before submission.
- Providing employees and supervisors with routine information on HR forms, processes and administrative requirements and referring policy interpretation or advisory matters to the HRBP.
- Supporting HR audits, file checks, data-cleaning exercises and compliance reviews by retrieving records, correcting administrative gaps and maintaining clear audit trails.
- Liaising with Payroll, HRIS, Recruitment, Training and Development and other HR stakeholders on routine administrative matters and escalating unresolved issues to the HRBP.
Minimum Qualifications and Experience Required for Effective Performance
- Diploma in Human Resources, Business Administration or related discipline.
- Minimum of 3 years relevant administrative or Human Resources support experience.
- Computer literacy or HR administration training would be advantageous.
- Experience in data capturing, records management, filing and document administration.
- Exposure to recruitment, onboarding, payroll or employee-service administration would be advantageous.
- Experience using Microsoft Office applications and an HR Information System would be advantageous.
- Mining, resources or operational environment experience would be advantageous.
