Job Description
Provide Administrative and Secretarial support to the Client Servicing Department through conducting and organizing administrative and Secretarial duties and activities.
Key Responsibilities
- Coordinating and managing all external meetings
- Arranging boardroom bookings and refreshments for clients
- Arranging conference calls
- Drafting and collating of agenda for Trustee meetings and ensuring adherence to timelines
- Minute taking at Trustee meetings
- Providing draft minutes following internal and external meetings.
- Organizing travel arrangements.
- Emailing of booking communication to Trustees/management committee members.
- Draft and manage correspondence, reports and documents.
- Assisting in preparing presentations.
- Formatting presentations, tenders, reports and letters.
- Creating spreadsheets for data management and managing Client databases.
- Obtaining quotations as and when required.
- Producing purchase orders as and when required.
- Submission and tracking of invoices to Accounts for payments
Requirements
- National Diploma in Secretarial Studies, Diploma in Business Administration, or equivalent
- 2-3 years working experience in a secretarial role
- Strong administration background
- Good typing and dicta typing skills – 40 wpm skills
- Computer literacy (Microsoft office – outlook, word, excel, Internet, Microsoft Teams
- Advanced typing skills
- Advanced MS Office skills
- Excellent oral & written communication skills
- Knowledge of administrative and clerical procedures
- Knowledge of business principles
- Proficient in spelling, punctuation, grammar and other English language
- Proven experience of producing correspondence and documents
