Job Title: Patient Services Manager

Location: Selibe Phikwe

Job Summary:
The Patient Services Manager plays a crucial role in overseeing and coordinating all aspects of patient services within the organization. They are responsible for managing a team of patient services representatives, ensuring exceptional customer service, and maintaining compliance with healthcare regulations. This position requires strong leadership skills, excellent communication, and the ability to collaborate with various departments.

Key Responsibilities:
❖ Recruit, train, and supervise a team of patient services representatives.
❖ Develop and implement strategies to enhance the overall patient experience.
❖ Ensure compliance with all relevant healthcare regulations, including other privacy laws.
❖ Ensuring compliance to service level agreements with internal and external stakeholders.
❖ Ensuring governance and risk management by monitoring and adhering to patient services policies and procedures.
❖ Ensuring the compliance to APH policies and managing authorisations and claim submissions, rejections and delays
❖ Analyze workflows and identify opportunities for process optimization and efficiency.

Implement changes to enhance the effectiveness of patient services.
❖ Resolve escalated patient inquiries or concerns in a timely and satisfactory manner.
❖ Implement and uphold high standards of customer service excellence.
❖ Oversee the accurate and timely recording of patient information in electronic health records (EHR) systems.
❖ Monitor data integrity and security protocols.
❖ Monitoring submission of accurate accounts to funders. Ensuring all billing checks are closed by the relevant function areas
❖ Work closely with other departments, including clinical teams, billing, and administrative staff, to ensure seamless patient care and services.
❖ Providing feedback and information on concerns or issues raised by internal stakeholders.
❖ Managing escalated concerns from Case Managers with external stakeholders.
❖ Generate regular reports on patient services metrics and KPIs for management review.

Qualifications:
❖ Degree/ Diploma in Nursing / Business Administration & Finance/Healthcare Management.
❖ Current registration with nursing and midwifery council in Botswana.
❖ 5 years in a patient services role.
❖ Strong knowledge of healthcare regulations and compliance.
❖ Proficient in using healthcare management software and electronic health record (EHR) systems.
❖ Ability to handle sensitive and confidential information with discretion and integrity.
❖ Understanding basic financial principles (Budgets, credit management)
❖ Experience in case management, medical billing, clinical coding, ICD coding.
❖ Knowledge of Funder contracts, scheme rules, exclusions and benefits
❖ Understanding of private hospital industry and practices
