Main purpose of the position

To organize, coordinate and supervise warehousing and materials distribution activities within the guidelines of the Corporations procedures and policies using the warehousing and inventory principles and procedures to ensure effective and efficient availability and flow of material within the corporation and to the external customers.

Job Responsibilities

  • Performs prescribed supply chain management activities using existing procedures to support others.
  • Monitors purchase orders to ensure provision of necessary material handling equipment on receipt and eliminate demurrage charges.
  • Compiles and calculates a list of items and quantities to be ordered based on stock outs reports and bills of materials to facilitate replenishment process.
  • Monitor goods received to ensure that they are accompanied by proper and complete paperwork and complies with BPC Purchase orders and specifications.
  • Resolves and reports incorrect deliveries, damages, or surpluses as per the laid down procedures and policy.
  • Accesses required information for specific purposes using the data management system.
  • Runs periodic stock movement reports and takes corrective action where there are discrepancies so that the Corporation stock is correctly priced, valued and accounted for.
  • Monitors the processing of warehouse transactions for prompt updating of computerised records and supplier payment.
  • Uses back-order notification system to advice customers on stock availability.
  • Investigates and resolves stock variances and data capture discrepancies and recommends remedial action.
  • Produces accurate reports for others by collecting data from a variety of standard sources and inputting that data into standard formats.
  • Compiles monthly statistics on section activities so that performance can be measured.
  • Checks journal of warehouse transactions to ensure data processing is accurate.
  • Identifies shortcomings in existing processes, systems, and procedures, then uses established change management programs to deliver prescribed outcomes and/or provide support services
  • Carries out prescribed internal and external client management activities and provides support to others by following existing procedures.
  • Uses the internal and external communications system to access required information for specified purposes.
  • Tracks budgets and brings variances to the attention of senior colleagues while working within established budgeting systems.
  • Reviews identified shortcomings in current compliance processes, systems and procedures and works with guidance to ensure solution of ad hoc problems within the assigned unit/(sub)discipline
  • Performs relatively simple quality sampling and inspection of products.
  • Sells standard products and services to customers.
  • Performs weekly Cycle stock counts and reconcile variances
  • Expedites orders once the Purchase has been sent to suppliers.
  • Performs daily records updates in the SAP System for record accuracy.
  • Provides supervision to a team performing routine work.
  • Operates in accordance with policies and rules, while performing routine safety checks on own equipment and workspace.
  • Organises the cleaning of warehouses and stores yards in accordance with good housekeeping and safety standards.

Qualifications

  • A recognized University Diploma in Material Management, Supply Chain or Equivalent.
  • CIPS membership will be an added advantage

Experience

  • At least three (3) years post qualification in a Supply Chain Management environment.
  • Warehousing and Inventory management experience will be an added advantage
